Nelloglobal Technologies Africa Ltd ("Nelloglobal", "we", "us", or "our") operates Nelloglobal Premium SMS ("NPSMS"), a school management platform consisting of a web dashboard and mobile applications used by schools, teachers, parents, and administrators in Ghana. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

By using NPSMS, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the service.

1. Information We Collect

NPSMS is used by schools to manage student records, and the following categories of information may be collected and processed:

a) Student Information

Name, date of birth, gender, nationality, religion, blood group, hometown, region, home address, admission number, class, photo, academic results, attendance records, disciplinary records, medical information (allergies, conditions, medications, doctor contact), and disability information where provided by the parent or school.

b) Parent / Guardian Information

Name, phone number, email address, occupation, and relationship to the student. This information is used to create parent accounts, send notifications, and process fee payments.

c) Staff / Teacher Information

Name, role, subject, assigned class, phone number, email, salary, bank details, and login credentials, as entered by the school administrator.

d) Payment Information

Fee records, payment amounts, payment method, and Mobile Money (MoMo) transaction screenshots submitted by parents for fee payment verification. NPSMS does not directly process or store MoMo PINs, card numbers, or banking passwords — payment confirmation is done manually by school staff reviewing submitted screenshots.

e) Device and Usage Information

We may collect device identifiers, push notification tokens (for sending attendance, fee, and announcement notifications), app version, and basic usage logs for the purpose of maintaining and improving the service.

2. How We Use Information

Information collected through NPSMS is used to:

• Operate core school management functions: student records, attendance, results, report cards, timetable, fee tracking, and promotion.
• Enable communication between schools, teachers, and parents, including SMS and push notifications.
• Process and verify Mobile Money fee payments submitted by parents.
• Generate AI-assisted report card remarks based on a student's academic performance.
• Maintain audit logs for account security and administrative accountability.
• Improve and maintain the reliability of the platform.

3. Third-Party Services

NPSMS uses the following third-party service providers to operate core features. Information is shared with these providers only as necessary to provide the relevant function:

• Cloudinary — used to store and deliver student, staff, and school photos and uploaded images.
• Arkesel — used to send SMS notifications (e.g. results-ready alerts, fee reminders) to parents and staff.
• Groq AI — used to generate suggested remarks on student report cards based on academic scores. No information beyond what is needed to generate a remark is shared.
• Mobile Money (MoMo) networks — parents submit payment screenshots for manual verification by school staff; NPSMS does not process live MoMo transactions directly.

We do not sell personal information to third parties, and we do not share data with advertisers.

4. Children's Information

NPSMS is a school administration tool and necessarily processes information about students who are minors. This information is provided and managed by schools and parents acting on behalf of the student, not collected directly from children. Schools and parents are responsible for ensuring they have the appropriate authority to provide a student's information to NPSMS. We do not knowingly allow children to create their own accounts or directly submit personal information to us.

5. Data Storage and Security

Data is stored on secured cloud infrastructure (PostgreSQL database hosted on Railway) with access restricted by authentication and role-based permissions. Each school's data is logically isolated from other schools on the platform. We take reasonable technical and organizational measures to protect personal information against unauthorized access, alteration, or loss, though no system can guarantee absolute security.

6. Data Retention

School data is retained for as long as the school maintains an active subscription. If a school requests deletion of its account, data is scheduled for deletion following a 30-day grace period, during which the deletion can be cancelled. After this period, data is permanently removed from our systems.

7. Your Rights

Depending on your role and applicable law (including Ghana's Data Protection Act, 2012, Act 843), you may have the right to:

• Request access to personal information held about you or your child.
• Request correction of inaccurate information.
• Request deletion of information, subject to the school's record-keeping obligations.
• Withdraw consent for non-essential communications (e.g. promotional SMS), where applicable.

8. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal reasons. We will update the "Last updated" date at the top of this page when changes are made. Continued use of NPSMS after changes are posted constitutes acceptance of the revised policy.
